Instructions for using the SuperSalon web check-In & appointments system

Effective January 1, 2011 a web-based customer check-in and appointment system has been implemented. Mobile apps are slated for the fall of 2011.

Who is affected?

  • I-Office: All users
  • POS: Version 5.6.2 and higher

What are the benefits?

  • Customers can go online and immediately see wait times for all of your locations.
  • They can quickly check themselves in at the location they prefer. They can select a specific stylist or next available.
  • Full integration: As soon as they check-in, their ticket appears on the salon wait screen along with an alert.
  • Customers who sign up provide all of their contact information including email, giving you valuable marketing information.
  • All customers are validated through email & SMS.
  • Create your own login that just shows your salons - perfect for your own website, and optionally join larger groups - perfect for franchisees or general listings.

What is required?

  • Simply let sales or support staff know that you would like to enable this feature for your salons.

Setup

Simply let sales or support staff know that you would like to enable this feature for your salons. We will need:
  • Website name.
  • A list of salons you would like in a group.
  • If your salon or salons belong to a master group - such as a national franchise.
  • Logos - we will need:
    • A large homepage logo for the left.
    • A medium homepage logo for the right.
    • A small logo for the upper-right corner of the scheduling screens.
  • If your salon will accept check-in, appointments or both.
  • A few other options such as 12 or 24 hour time format, etc.

This will reflect on the login screen. Note the two large graphics on the login screen, and the small graphic on the subsequent screens.

Customer facing website - Check-In

  • Add a link to your website, Facebook, etc, to yoursalon.webcheckin.com.
  • Customers who click on the link will be taken to the login page. If it is their first visit they will be able to register. They can also skip and go directly to checking wait-times, but they must register before making a ticket. Our feedback group has decided to move this so that it is the final step in order to draw customers in more effectively.
  • Once Registered, customers can log in. In addition to checking in and making appointments, customers can see their visit history, and prior service details.

  • The first step to checking in or making an appointment is Selecting a location. If you belong to a multi-state group, users will be able to select a state, city, then a salon. If you own a single salon or small group of salons in one state or city, the customer will not need to select state or city to drill down. Users can also select the Google map salon locator.

  • Customer selects a location and a quick stats screen is displayed.

  • Customer starts by viewing the salon status screen, and selecting Next Available Stylist or Request Specific Stylist. Once selected, the user will be prompted to select a service.

  • Next the user selects the time they will arrive. There are two options:
    • User can simply select how long till they arrive, OR
    • User can enter a specific time. Only available times can be selected.

  • Finally the user presses the Create Ticket button.

  • Within about one minute, a new ticket will appear in the SuperSalon wait queue at the salon. A pop-up will be displayed advising the staff that a web check-in ticket has been added.

  • Ticket is color coded. Touch ticket to display customer phone number.

  • If you are using SMS, SuperSalon can then be sent to automatically send a haircut reminder SMS a month later. The reminder will have a link that will open up the online check-in.

  • An optional video menu board can rotate to a screen that shows wait-list. This improves the process as customers who have been waiting are not surprised in an online check-in customer walks in and goes right to service.
